Acti-pass can be bought up to 12pm (Midday) for the next day.. This is so the acti-pass can be collected, and travel arrangements can be made.
Acti-pass purchases are available online from the link below, or they can be purchased from the acti-pass office in person up to 12 midday the day before.
IMPORTANT THINGS YOU NEED TO KNOW ABOUT BIG CAMP ACTIVITIES
Activity Consent By registering yourself/the participant, you provide your consent for yourself/them to participate in the selected activities in accordance with the Terms & Conditions provided at the end of this Registration Form. Please be sure to read them carefully.
An email containing further activity details will be sent to all registered participants prior to Camp, as well as being available from the Acti-Pass Office during the event. If you do not receive this email, or you wish to withdraw your consent, please contact the Acti-Pass Office Team as a matter of urgency at [email protected] or 07 3218 7777.
Activity Limits Some activities have limited places due to venue limitations. Purchasing a $2.50 Wristband does NOT reserve them a place for an activity. The only way to guarantee the participant a place in the desired activity is to purchase an activity before they are sold out. Activity Purchasing BEFORE CAMP (up until Wednesday September 4th) : Step 1: Purchase a $2.50 wristband ONLINE for your child in the division that they will be attending. Step 2: Purchase activities ONLINE that they will be participating in from that division.
Note: Step 1 & 2 are in the same registration. Once you complete this online registration for the first time you/your child will be added to our activity system. You can then add additional activities later via another online order.
IN BETWEEN 4th & 12th SEPTEMBER
Online orders will still be open between 4 -12 September. HOWEVER, if you purchase any activities during this period, your Actipass Wristband will not be available to collect until SUNDAY 14th September. IT WILL NOT BE AVAILABLE ON THURSDAY 12 SEPTEMBER OR FRIDAY 13 SEPTEMBER. DURING CAMP - All Activities must be purchased by 12PM on the DAY BEFORE THE ACTIVITY IS SCHEDULED 1. To add activities, go to the Big Camp Website and click on the ‘application’ page. Then navigate to the ‘Wristbands/Activities’ tab to add more activities. 2. Attend the Acti-Pass Office in person to add an activity and provide card payment 3. THERE WILL BE NO CASH PAYMENTS AVAILABLE
Note: ALL WRISTBANDS & ACTIVITIES purchased after Wednesday September 4th will incur a 10% surcharge.
Age Limits Divisions and their activities are geared towards the age specifications advertised. Children should not be registered for a Division they are not suited to based on their age and/or developmental level. If the child's age is on the boundaries of two different age levels, it is the parent/guardian's discretion as to which division to enrol them in. If the parent/guardian chooses to go ahead and register an Attendee who is in a lower/higher age than the activities are designed for, they acknowledge the following:
- the Attendee may be at higher risk during the program and activities; and
- participation in Activities will be at the discretion of the Activities Coordinator and may be refused due to size or ability regardless of whether a purchased ticket is held.

Child Safety
Medical & Consent Information
We aim to provide a high level of care for those who attend our events. In order to do this, we need to have information about those who attend, including their medical conditions, medications, and information regarding Medicare and Health Insurance. It is also important that we know who to contact in the unlikely event of an incident or emergency. For 2024 the Acti-Pass team will be using Operoo again to assist parents and Leaders with the efficient provision, collection, and management of this important information. It is expected that you will ensure the spelling of names, email addresses, and mobile numbers is accurate and that you will respond to our request promptly (to be sent via Operoo in the days following this application) to assist us with planning and preparation.
Wristbands will not be available for collection if the Care Profile for the Participant has not been shared with our event (or the medical/emergency information provided via an alternate method).
Staffing & Volunteers
All staff and volunteers that assist us in running activities must go through a screening process. This process includes the following:
- Must hold a QLD Blue Card or Blue Card Exemption
- Must complete a Volunteer Application & Referee Check & Consent Form
- Must Complete ADSAFE Training - Safer Churches Awareness Training - this training covers rules, regulations and requirements for child & vulnerable people safety and how to make vulnerable people in our church environment safe and what processes to follow should any incidents occur.
Activity Safety
All activities that we run have been Risk Assessed and signed off on by our Conference Compliance Manager.
We take into consideration the risks of the activity, volume, ages & needs of attendees when we organise our activities. This results in us ensuring that we have adequate staffing ratios in place for supervision.
We also have First Aid Officers and Equipment present at all our activities and processes to follow should we need more professional medical assistance.
We have an Emergency Response process in place should it be required and Incident Reporting that takes place following any injuries, accidents or incidents that may occur.
Custodial Arrangements If the Participant has a current custody order in place, please contact us on [email protected] or 07 3218 7777 to advise. A copy of the order, along with a photo of your child and any further information we should be aware of will be required. A photo ID will be requested when collecting your child. Life-Threatening Medical Conditions Please talk to the Division Leader if the Participant has a life-threatening condition and may require assistance. In such cases, a parent/guardian is advised to accompany the child. Big Camp First-Aid staff are not permitted to administer medications except where it is a lifesaving medication (Epipen and/or Ventolin). If either of these medications may be required by the Participant, it MUST be brought by the Participant and always remain with them. Photography Photos are being taken at Big Camp programs and activities and used for a variety of promotional purposes including our publications 'Focus', 'Record' and the Camp Newsletter, along with slideshow/video at Big Camp, websites (SQ Conference, Children's Ministries, and/or Teen & Highschool Ministries), and social media. We always endeavour to take and use photos that show the Seventh-day Adventist Church, its programs, and participants in a positive manner. By allowing the Participant to participate in these programs and events you acknowledge that these photos and videos are being taken.
You have the right to decline use of these photos for promotional purposes, however, we have a high number of participants at Big Camp programs and events and it is impossible to screen photos/video for individual participants unless we have a passport style photo for identification purposes. If you indicate in the registration that you do not give your consent, it is essential that you also provide a photo of these identification purposes. This identifying photo will be shared with the relevant Department Staff, Division Leaders and our Conference Photography Team in order to abide by your instruction. Protecting Your Privacy Your privacy is important to us. The information we seek allows us to manage risk, provide reasonable care and administer involvement in our program. We are careful to keep your information confidential and provide it only to those agents acting on our behalf who need it to enable them to perform their agreed duties (e.g. First-Aid Officer). We will not use your information for other purposes. You are welcome to contact our office in relation to issues regarding your personal information and for a copy of our Privacy Policy.
We only ask for information that is necessary for the purposes outlined in this statement. In some circumstances, if you don't provide us with all requested information, you may miss the opportunity to be involved in the program. At the end of the camp we archive all Care Profiles in Operoo and remove all access to these profiles. All hard copy medical and consent forms are archived electronically and stored for the appropriate amount of time (as per record management and privacy regulations) and then destroyed. Refund Policy Refunds will only be given in the event of a Participant contracting an illness or injury that prevents them from attending (including COVID).
If a Participant changes their mind, they may exchange the activity for another in the same Division, IF the exchange is completed prior to 12 noon, the day before the earliest activity to be exchanged (assuming there is space in that activity). Please note that for some events an administration fee may be applicable.
Refunds will not be given for missing the bus!
Due to how busy we are during the week that Big Camp is running, we may not be able to process refunds immediately but will endeavour to do so as soon as possible.
Signing In/Out & Supervision
- Tots n Toddler & Kindy Divisions - it is a requirement that any child attending the Tots n Toddler or Kindy divisions is accompanied by an adult for the duration of all meetings and activities.
- Primary Division - due to the age of those in the primary division, it is an important part of our child safety policy that we have a sign in/out process for participants when attending all programs and activities. This process will take place at the start and finish of the programs.
Venue Memberships & Season Passes For 2024, we have adjusted our ticketing to Dreamworld & WhiteWater World activities to allow those with an annual pass to purchase a ‘Bus Only’ ticket. If you/your child already holds an annual pass for this venue, please ensure they have the pass present with them at Big Camp as they will need to show it to enter the venue.
Purchasing a ‘Bus Only’ ticket for this activity will not grant entry to Dreamworld & WhiteWater World and only cover the bus trip to and from the venue. Wristbands The participant will be issued with a wristband ('Actipass') which must be worn to attend purchased camp activities. If for any reason you have an issue with the Participant's wristband please bring their band to the Acti-Pass Office and we can replace it or fix it.
Wristbands cost $2.50 to replace if lost. We will replace a broken wristband once for free, any further replacements will be at a cost of $2.50.
As the wristbands help to identify your child's emergency record in our database, they are not interchangeable between children and MUST ONLY BE WORN by the listed participant in the organisation. Remember NO BAND, NO GO.

Terms and Conditions
These Terms & Conditions are to be read in conjunction with the ‘Things You Need to Know’ provided at the beginning of the Activity section in the registration form.
Refunds will only be given in the event of a Participant contracting an illness or injury that prevents them from attending (including COVID).
If a Participant changes their mind, they may exchange the activity for another in the same Division, IF the exchange is completed prior to 12 noon, the day before the scheduled activity is to take place. Please note that for some events an administration fee may be applicable.
If the participant is injured or falls sick and is unable to attend, please contact the Actipass Team as soon as possible. A refund will be available via the provision of a medical certificate.
REFUNDS WILL NOT BE GIVEN FOR MISSING THE BUS OR FOR THE $2.50 WRISTBAND.
Acknowledgement
- Participants and I declare that we will read information sheets and personal equipment lists for their safe participation in all activities and will endeavour to ensure we have all the items listed. • Participants will participate in an information session providing safety rules and procedures and understand that there may be some risk involved. Participants agree to be responsible for taking the time to learn safety techniques and the proper use and limitations of each piece of equipment. • Participants understand that they may refuse to participate in any part of the activity that they feel(s) apprehensive about, (if this does not endanger them or the other participants and leaders).” • Participants and I agree that if they/I/we suffer injury or illness, the organisers can arrange medical treatment and emergency evacuation services as the organisers deem necessary for their safety or wellbeing. Any costs associated with medical treatments and emergency evacuation services will be my/participant responsibility. By signing this form, I/we acknowledge that participation in the activities and the use of the facilities at any Seventh-day Adventist Church (South Queensland Conference) Limited entity involves a risk of personal injury, and that by participating in any of the activities and using the facilities, I acknowledge that I am doing so freely and willingly and agree that I will abide by the directions of the staff of the SDA Entity at all times. I/we agree that Australasian Conference Association Limited and/or Seventh-day Adventist Church (South Queensland Conference) Limited (ACN 104 195 897) shall not be liable for any bodily injury, personal injury, loss, claim, costs or damage of any kind suffered by my children or me whilst participating in the activity and using the facilities that was not the consequence of any act or omission of Australasian Conference Association limited and/or Seventh-day Adventist Church (South Queensland Conference) Limited (ACN 104 195 897), providing always that the liability of Australasian Conference Association Limited and/or Seventh-day Adventist Church (South Queensland Conference) Limited (ACN 104 195 897) to me is limited to the extent to which the act or omission may have contributed to the injury, loss, claim, cost or damage.
Your Agreement With The Organisation I/we are aware, in signing this document that certain elements of the program could be physically and emotionally demanding. Furthermore, I/we understand that certain risks and dangers are inherent in the activities. I/we acknowledge that while the organisation and its
leaders will make every reasonable effort to eliminate or minimize exposure to known risks, all
- I accept all operation, blood transfusion and/or anaesthetic risks involved in the event that such procedures are deemed necessary. • I accept the responsibility for payment and agree to pay medical, transport and any other related expenses. • I confirm that the information contained in this application is true and correct. • I agree to inform the leader of any change to these details. I am the parent/legal guardian of any persons
hazards and dangers associated with these activities cannot be foreseen or may be beyond the
control of the organisation, its leaders and staff.
I/we understand that the Church or Conference A.V. Team will store your information in
accordance with the Seventh-day Adventist Church (South Queensland Conference) Privacy
Policy.
The consent herewith provided is on the condition that prior written information regarding the
identified hazards associated with high risk activities and events is provided to me.
In the event of an emergency where the nominated contact people are unavailable:
- I authorise the leaders to obtain medical advice and/or assistance which they deem
necessary.
- I further authorise qualified practitioners to administer anaesthetic if required.• I accept all
operation, blood transfusion and/or anaesthetic risks involved in the event that such
procedures are deemed necessary.
- I accept the responsibility for payment and agree to pay medical, transport and any other
related expenses.
- I confirm that the information contained in this application is true and correct.
- I agree to inform the leader of any change to these details. I am the parent/legal guardian of
